How to write professional emails in English

We all know that emails are an indispensable tool for professional communication. If you are in the business world, it is very likely that you will have to write emails in English.

How to structure your email?

From the greeting to the farewell, there are some key elements you should include in your email to achieve a good structure.

First, start with an appropriate greeting. This depends on whether you are writing to someone you know or not. If the person is unknown, use a formal greeting such as: Dear Sir/Madam or To Whom It May Concern . If the person is known, you can use an informal greeting such as Hello.

Next, write an opening sentence. This can be a short sentence that introduces the subject of the email or simply a greeting sentence: I am contacting you on behalf of…, I am writing in connection to…, We are writing to you regarding…, I am writing in response to... , I would like to...

Next , write your content. If you are trying to get something done, explain in detail what you need. If you are trying to explain something, present the facts clearly and concisely.

Do not use capital letters or abbreviations, and focus on the reason for your e-mail: I am writing with regard to…, I am happy to inform you that…, It would be grateful if you could…, Would you please send me more information about...?

Finally, write a farewell and add your greetings: Please, feel free to contact me if you have any questions, I look forward to hearing from you, Let me know if you need anything else, and, Best regards / Kind regard, Sincerely, Yours faithfully.
