It is important to understand that it is not enough to simply put together a few beautiful letter layouts and send them to your users. There must be a system in everything.

The email strategy must strictly correspond to the goals chosen for the long-term and short-term perspective.

In fact, all the previous steps, including choosing an email service and filling the customer base using forms and lead magnets, are all part of the overall email strategy.

You should have at least two parallel mailing plans:

General mailings (usually these are informational and advertising letters, as well as general audience surveys ). For general mailings, it is very important to choose the right sending cycle. If you overwhelm the client with letters, useful and useless, then he will most likely quickly refuse your mailings or, even worse, mark your mailings as spam.

If we are talking about trigger mailings, then all letters (layouts, content, etc.) can be created once in advance and simply set up the sending conditions.

It is logical to detail the email newsletter plan down to a separate letter. For each task (letter), there should be marks on the readiness of the content, layout, and employees responsible for this work; for each type of work, the final deadlines should be specified. If the marketing department is large, also assign those responsible for checking the results.

If a simple table format does not suit you, you can use CRM systems and special services for project management/planning (BPM systems).
